Job Summary

We are looking for a master multi-tasker with excellent communication skills and an upbeat attitude. Candidates should be able to assist management and all visitors to the company by handling office tasks, providing polite and professional assistance via in person, phone, e-mail, making reservations or travel arrangements, and generally being helpful and having a positive presence in the workplace.

Job Responsibilities

  • Perform day-to-day administrative tasks to support smooth office operations.
  • Arrange travel, accommodations, and logistics for staff and visitors.
  • Screen phone calls, inquiries, and requests, and handle them professionally.
  • Greet and welcome visitors at all levels of seniority, ensuring a seamless experience.
  • Organize and maintain diaries, manage calendars, and schedule appointments.
  • Coordinate and schedule meetings (in-person and virtual), including Zoom, Teams, and Google Meet setups
  • Assist in organizing office events, meetings, and activities
  • Transcribe minutes from meetings, and prepare reports and presentations as needed
  • Conduct research, manage vendor relations, and ensure smooth guest management.
  • Oversee vendor contracts and agreements, ensuring timely services and follow-ups.
  • Maintain an organized filing system, update paperwork, and ensure documentation is
    kept current
  • Demonstrate proficiency in Microsoft Office Suite (Word, Excel, PowerPoint,
    Outlook) to generate reports, presentations, and other documents
  • Assist in asset management and inventory control.

Qualifications

  • Proven experience as an Admin Executive or similar role
  • Proficiency in Excel, PowerPoint Presentation, and Microsoft Office
  • Multilingual may be preferred
  • Strong organizational and multitasking abilities
  • Good communication, and interpersonal skills
  • Excellent e-mail communication
